ProjectLibre AI is an innovative integration of advanced project management and artificial intelligence, designed to streamline project planning. With just a project description, users can automatically generate fully structured project plans—including tasks, durations, task dependencies (precedence relationships), and resources.
Interactive create and edit (2.0 preview): Use the AI control / AI Generation (Generate tasks) to create a project and to append tasks from the selected row. Multilingual prompts are supported (Spanish and Japanese demonstrated). AI produces a real schedule of tasks and durations — not a chatbot essay.

ProjectLibre 2.0 integrates advanced AI to transform a simple project description into a fully structured schedule. This guide walks you through the process of generating a new project from scratch and refining it for granular detail.

Step-by-Step Guide to AI Project Generation
1. Access the Portfolio View
Navigate to the Portfolio tab. This is your centralized hub where all existing projects are listed and where new ones are initiated.
2. Create and Name Your Project
Click the Create button and assign a name to your project (e.g., “New Product Development”).


3. Open the Project
Locate your new project in the Portfolio list and open it. Initially, the Gantt View will be entirely blank, as shown in the AI Blank Gantt image below.


4. Launch the AI Generator
In the Gantt Chart menu bar, click the AI icon and select Generate Tasks. This opens the AI Generation input dialog.

5. Describe Your Project (The Prompt)
In the description box, provide the AI with the context of your project.
- The Magic Phrase: Always conclude your prompt with a specific instruction for the number of tasks, such as “Return 50 tasks” or “Return 100 tasks.”
- The “Sweet Spot”: We recommend staying within the 50–100 task range. Requesting more than 100 tasks often results in a schedule that is more time-consuming to edit and rationalize than it is to build manually.
Example Prompt: “Create a project for new product development return 50 tasks”

6. Generate
Click Generate Tasks. The AI will instantly populate your Gantt chart with tasks, durations, and logical dependencies (links).

Refining Your Schedule: Iterative Generation
ProjectLibre AI is interactive. If the initial generation is too high-level for a specific phase, you can use the AI to “drill down” and add more detail exactly where you need it.
Example: Detailing “Market Research”
In your generated schedule, you might find that “Market Research” is listed as a single, broad task. To break this down:
- Select the Task: Highlight the “Market Research” row.
- Request Detail: Open the AI tool again and enter a specific prompt like: “I need more detail on Market Research. Add 10 detailed tasks for Market Research. Return 10 Tasks.”
- The Result: ProjectLibre AI will insert 10 specific sub-tasks directly under the Market Research function, automatically handling the indentation and logical links.


When requested ProjectLibre AI will add 10 tasks in this example to the Market Research function.

To get the most out of ProjectLibre AI, use the following guidelines when entering your project description:
Specify the Language
- ProjectLibre AI supports project creation and modification in any language.
- You can write your project description in your preferred language or specify it at the end of your description.
- Example: Write your project in French or add “Create project in French” at the end.
Define the Number of Tasks
- By default, ProjectLibre AI creates a small project with a limited number of tasks.
- To generate a more detailed project, specify the number of tasks at the end of your description.
- Example: “Return 50 tasks” or “Return 100 tasks” for a more comprehensive plan.
- Note: Avoid requesting more than 100 tasks to prevent potential time-out issues.
(Coming Soon) Automatic Resource Assignment
- Soon, ProjectLibre AI will support automatic resource assignment based on your Resource Pool.
- Before running the AI, list the resources and their roles in the Resource Pool.
- In your project description, specify resource roles to enable AI to assign tasks automatically.
Example:
- Sara is an architect
- Mindy is a banker
- Connor is a contractor
- Kai is a plumber
ProjectLibre AI will then match tasks to the appropriate resources, such as assigning Sara to architecture-related tasks and Kai to plumbing tasks.
Editing and Managing AI-Generated Projects
Once ProjectLibre AI creates a project, it is a fully functional and editable project file. Users can modify tasks, adjust durations, reassign resources, and refine the project as needed.

Role-Based Access Control (RBAC)
Role-Based Access Control (RBAC). ProjectLibre Cloud utilizes a robust role-based access system. Consequently, the Portfolio View only displays projects for which you have been granted specific permissions. This security layer ensures that if a user does not have the required role, they will be unable to view or even detect the existence of restricted projects.
Navigation and Project Organization
- Dynamic Reordering: To customize your workspace, you can now reorder projects directly within the portfolio. Simply select a project and drag it up or down to its desired position in the list using the icon next to the project #.
