How to read the Resources workspace: the enterprise pool, Gantt capacity colors, Teams, Calendars, and the Peak Units graph.

Tagline: One enterprise pool — capacity you can see across every project.

After you assign resources to tasks, the next skill is reading the Resources workspace itself: the shared enterprise pool, Resource Gantt capacity colors, Spreadsheet / Distribution / RBS views, Teams, Calendars, Edit Resource, and the bottom Resource Graph (Peak Units and related metrics). Without that view, the same person can look free in one project and be overallocated across the portfolio.

This section draws primarily on the Resource View tour and the New features 2: Project and Resource capacity / graphs / OBS histogram material. Task-assignment mechanics stay in Assigning Resources. Resolving overload with Preview / Level / Clear stays in Resource Leveling.

Open Resources — four sub-views

Left nav → Resources (demo URL pattern includes /resource/gantt). Under Resources, four sub-view icons show the same enterprise pool in different layouts. The first icon tooltip on screen is Gantt.

  • Gantt — left spreadsheet + right time-phased Resource Gantt (primary visual workspace).

  • Spreadsheet — columns only (no timeline).

  • Distribution — Work / Actual Work / Remaining Work + time-phased Work grid.

  • RBS — hierarchy chart of the Resource Breakdown Structure.

Toolbar controls demonstrated on the View tour: + Add, Undo/Redo, Calendars, Manage Teams (people icon), Edit (pencil), plus layout / zoom / filter / settings.

Resource Gantt — capacity colors

The Resource Gantt is the primary capacity map. Left: enterprise resource rows (ID, Indicator, Name; RBS when widened). Right: time-phased assignment bars across projects.

Color Meaning
White No assignment
Blue < 50% of available capacity
Green 50–100%
Red Overallocation > 100%
Orange Severe overallocation > 150%

Important: the bottom Peak Units histogram uses a different on-screen legend — Overallocated (red), Fully Allocated (green), Allocated (blue) vs a bold 100% line. Teach Gantt cell colors and Peak Units legend separately.

Spreadsheet and Distribution views

Spreadsheet drops the timeline and focuses on columns. Headers: ID, Indicator, Name, RBS, Type, Email, and a truncated G… column (Group).

RBS view

The RBS sub-view draws the Resource Breakdown Structure as a hierarchy chart. Nodes show ID, Work (hr), Start, and Finish, with intermediate numeric grouping shapes (e.g. 1, 2, 22).

Teams

Toolbar Manage Teams (people icon) opens the Teams dialog. Create and maintain teams from the enterprise pool, then use them for grouping / capacity analysis (and, elsewhere in the product, project staffing).

  • Title: Teams. Controls: + Add Team, delete (trash).

  • Demo teams: Client Team A, Engineering Team.

  • Fields: Team Name; search placeholder Search name or email…; member badge (e.g. 3 MEMBERS).

  • Member table: checkbox, Indicators, Name, Type, Email.

  • Footer: Cancel, Save.

The management video explicitly defers deeper team access / group resources / access topics to a later clip — see also My Work & My Team and RBAC for collaboration/access angles.

Calendars (Global and Resource)

Toolbar Calendars opens the Calendars dialog. Tabs: Global | Resource. Right side: Exceptions | Work weeks. Header control: Apply Calendar to selection with a resource count badge and Pick a calendar.

  • Global examples on screen: Standard *, 24 Hours, Night Shift, EU Team Calendar, M, W, F work Calendar, USA Calendar.

  • Fields: Name, Base calendar (none).

  • Exceptions example: Christmas date range 12/25/2026 – 12/25/2031.

  • Resource tab empty state: resource uses the global calendar until you + Create resource calendar.

  • Work weeks: Default week; day type radios default / working (red = non-working, black/default = working).

Edit Resource

Select a resource row → toolbar Edit (pencil). Dialog title = resource name (demo: Database Engineer). Tabs: Main | Availability | Cost | Actuals | Calendar.

  • Main — Name, Initials, ID, Email, RBS, Type (on-screen Work), Generic checkbox, Group, Work, Start, Finish.

  • Availability — dated capacity; columns Effective date, Max units (slider + %); + Add entry. Examples: 50% part-time, 0% leave.

  • Cost — Accrue At = Prorated (shown); rate tables A (default)–E; columns Effective date, Standard rate ($/h), Overtime rate ($/h), Cost per-use ($).

  • Calendar — Calendar = Standard (inherited); Effective Calendar = Standard.

Bottom Tasks filter and Resource Graph

In the Gantt layout, the bottom pane combines a Tasks: project checklist with a Resource Graph. Deselect projects in the Tasks list to change what the graph includes — that is the cross-project filter demonstrated in both View and Management videos.

Graph metric dropdown:

  • Peak Units (primary capacity histogram)

  • Work, Cumulative Work

  • Overallocation (only)

  • Percent Allocation

  • Remaining Availability, Work Availability

  • Cost

At Portfolio, multi-select / highlight projects by OBS and the bottom Resources / Peak Units histogram shows aggregate loading for the selection (placeholder text before selection: “Select one or more projects to see allocation”). Full OBS grouping lesson: Portfolio: Group by OBS.

In Project view, the management video also shows sliding an assignment percentage bar on a resource (e.g. Dev at 100%) to manually reduce load — a precursor to automated leveling.

Diagnose overallocation → Leveling

When Resource Gantt cells go red/orange, Peak Units stacks above 100%, or red Indicator icons appear on conflicted rows, you have diagnosed overload — not yet resolved it.

  • Filter the bottom Tasks list to isolate which projects contribute demand.

  • Switch graph metrics (Percent Allocation, Remaining Availability, Overallocation only) to confirm the pattern.

  • Optionally slide assignment % in the project Resources pane (management demo).

  • When you need the engine to move lower-priority work: open Leveling (button visible under Peak Units in the management video) and follow Resource Leveling for Preview / Level / Clear — this section does not re-teach those steps.

Workflow: use Resources to identify capacity problems, then use Resource Leveling to resolve them.
