ProjectLibre Academy · Administration & Configuration
Administration & General Configuration
The Administration panel: users, roles, licenses, billing, company standards, and the timesheet and approval settings.
Open Administration from the left navigation. The modal is your org control plane for users, roles, licenses, billing, and company standards. Timesheet and approval options under Company control how project timecards in My Work and approvals in My Team behave.
For the security-first RBAC lab, see Administration & Security and User Management. Each signed-in user configures avatar and Core/Pro under Personal Settings & Avatar.
Administration modal (from left nav)
Clicking Administration in the left sidebar opens an Administration modal overlay (not a full-page replacement like Portfolio or Gantt). Who sees the menu — and which tabs — depends on role permissions.
Watch: Admin Menu (~11 min tabs overview).

Tab strip
Tabs in this Admin Menu build: Users · Roles · Licenses · Payment · Company.
Modal footer: Cancel · Apply · Save.
Users & Roles
Users: left list (Email, First Name, Last Name) + right detail; + Add User; password; Roles tags; linked enterprise Resource; Teams tags. Deep provisioning: Administration & Security · User Management.
Roles: RBAC catalog (e.g. Administrator, Project_Manager, Schedule_Manager, Portfolio_Manager, Team_Member, Resource_Manager, Authenticated), inheritance, and privilege groups (VIEW / DIALOG / ADMINISTRATION ACCESS, financial fields, …). Hands-on privilege labs stay in Roles & privileges / User Management — Roles.

Licenses
Manage the mix of Project Manager licenses (create / manage / analyze — includes administrators) and Team Member licenses (broader collaboration). The tab shows active / assigned / available counts and a Subscribe path from trial.

Payment
Subscription status and saved payment methods (+ Add card). Billing is permission-gated — project managers and team members need not see billing simply because they work on projects.

Company
Org-wide standards in scrollable cards:
-
Company name and Currency (company-wide money; number formatting can follow user locale).
-
Plan — subscription status / renew date.
-
Timesheet — reporting period, period starts on, pre-fill from planned — Timesheet & approval settings.
-
Schedule audit (DCMA) — thresholds for the 14-point audit (blank = DCMA standard); applies to next run and quality trend — Project Audit.
-
Project scoring — Derive scores toggle + weights (Benefit, Business risk, Priority, Schedule risk).

Governance takeaway
Administration is where ProjectLibre Cloud becomes a controlled multi-user environment: users linked to resources and teams, flexible RBAC, license capacity, billing for authorized admins, and company standards for currency, scoring, timesheets, and schedule quality — applied in the browser across the shared organization.
Timesheet & approval settings
Require approval on one project; apply submitted time automatically on another. The project manager can control the workflow per project instead of forcing every schedule through the same process.
Approval ON / Approval OFF:
| Setting | Behavior |
|---|---|
| Approval ON | Submitted hours wait in My Team for the project manager to review and Apply week or Reject week. |
| Approval OFF | Submitted hours are applied to the project plan immediately without an approval step. |
Reporting period — Configure the project timecard cycle, such as weekly reporting.
Planned hours as a suggestion — Optional pre-fill can make recurring time entry faster while still allowing actuals to be changed.
Use Approval ON for projects that require manager review and Approval OFF (auto-apply) where speed is more important. For the end-user workflow — entering actual hours by day, updating remaining work, Submit Week, Apply week, and Reject week — see My Work & My Team. Assigned tasks originate from Assigning Resources to Tasks.
