My Work & My Team

Project timecards and approvals: how task assignments flow into weekly time entry, remaining work, approval and the live plan.

ProjectLibre connects scheduled task assignments to weekly time entry, remaining work, approval, and the live project plan. Project timecards, team approvals, and project actuals stay tied to the same tasks—not a disconnected timesheet system.

Open from the left navigation: My Work (clock icon) and My Team (people icon) are items in the ProjectLibre Cloud left sidebar. My Team can show a red badge with a pending-approval count (for example, 1). Administration (gear icon) is also in the left sidebar — use it for Timesheet & approval settings.

Connected workflow (assignment → actuals)

End-to-end flow from schedule assignment to project actuals:

  1. Assign work — The PM assigns resources to scheduled tasks.

  2. Enter actual work — Team members enter hours by day and update remaining work.

  3. Submit period — The user submits the weekly project timecard.

  4. Approve or auto-apply — The PM reviews it, or the project applies time automatically.

  5. Update the plan — Actual work and remaining effort become project status.

Correlation example: Tasks assigned in the project schedule (Gantt)—for example “Await Owner’s Selection” and “Sign Agreement”—appear as the same user’s project timecard entries in My Work.

My Work

My Work is a simple weekly project timecard built directly from the project schedule. It shows each person only the assigned tasks they need to report against.

Who it’s for: Team members / individual contributors who report progress on assigned tasks, and anyone who needs a personal view of assignment activity and optional email notification of task events.

The timecard does more than collect hours. Actual work and remaining work stay tied to the scheduled task, giving the project manager usable status information for the plan.

How to use My Work

  1. Receive assignments from the project schedule (tasks assigned to you by the PM).

  2. Open My Work from the left navigation menu (clock icon) — assigned tasks appear as project timecard entries.

  3. For each assigned task:

    • Record actual hours by day (hours actually worked).

    • Update remaining work (effort still required to finish the task).

  4. Submit Week — send the reporting period into the configured approval workflow (Timesheet & approval settings).

  5. (Optional) Use the personal notification feed and configure which task events should also go by email.

Each user has a personal notification feed for task activity in ProjectLibre. Users can choose which task events should be copied by email:

  • Assigned to a task

  • Finishing today

  • Due this week

The individual sees assignment activity and the project involved.

My Team

My Team is the project manager side of the same connected workflow: approval controls, visibility of submitted work, and a team activity / notification feed (including badges for pending approvals).

Who it’s for: Project managers (PMs) who review submitted time before (or without) it changes the plan, and who configure per-project approval / reporting behavior (see Timesheet & approval settings).

Open My Team from the left navigation menu (people icon). The menu item can show a red notification badge for pending approvals that need attention.

Approval workflow

When approval is enabled, submitted time is staged in My Team. The PM sees the person, task, actual hours, and remaining work, then decides what should be applied to the project. The approval queue shows exactly what will be applied to the project plan.

  • Reject week

Flexible approval rules (per project)

Require approval on one project; apply submitted time automatically on another. The project manager can control the workflow per project.

Setting Behavior
Approval ON Submitted hours wait in My Team for the project manager to review and Apply week or Reject week.
Approval OFF Submitted hours are applied to the project plan immediately without an approval step.

Related project configuration (set under Timesheet & approval settings in Administration):

  • Set the reporting period — Configure the project timecard cycle, such as weekly reporting.

  • Use planned hours as a suggestion — Optional pre-fill can make recurring time entry faster while still allowing actuals to be changed.

  • Choose control where it adds value — Use approval for projects that require manager review and auto-apply where speed is more important.

My Team activity / notifications

Managers see team activity and pending submissions in one place:

  • The My Team notification feed shows task assignments and submitted timecards.

  • Badges surface pending approvals that need attention (including the red badge on My Team in the left navigation).

  • Assignment activity and timecard submissions are visible without opening each project individually.
