Video: Creating Users, Roles, Teams

The Administration Administration icon (three-bar menu) icon is located on the far right of the menu bar. After selecting the Hamburger icon you have four Administration options if you have Administrator privileges. This includes Administration, resetting of roles and preferences or Logging out.

The Administration option is only available to users with the Administrator role and privileges, otherwise this option is hidden. If Administration is selected you have multiple options:

Portfolio Administration

The Portfolio lists the projects you have permission to view. Projects assigned to Teams are visible to the Administrator, Portfolio Manager, and members of the assigned Team.

When a project is selected it opens a detail view. This view allows you to assign a team to the project or edit which team is assigned to the project

Create New Users & Administration

Selecting the Users tab allows for the creation of new users or editing existing user profiles.Creating a new user is done in the Users tab by selecting New (see Figure 8). Enter the new user’s first name, last name, name for logging in which can be different from their first/last name, email, and an initial password for the new user.

An important part of creating new users is assigning them a role. You will see a list on the left and are able to select and drag it to the right. See Figure 9 on the next page for an example. We have clicked on the Role_PM (project manager role) and dragged it to the right as you can see. This user will have the Project Manager permissions. There are also standard roles of Team member, Administrator, Portfolio Manager and Resource Manager. As you can see in the image additional roles can be created and assigned to users.

You give users roles by dragging the role from the list into the right panel (or using the arrow). You can remove a role by dragging back to the left or using the left arrow. Users can have multiple roles.

Users can be assigned to teams with the same interface. Selecting a team and then dragging or using the arrow to move to the right panel puts them on a team.

The default is everyone (All) can view the projects. Organizations can also create teams with examples being by function, geography or the project itself to create a team. This is done by selecting the sub menu Teams and selecting New. Highlight a User and drag or > to the right.

Teams can be assigned to Projects. The result is only those team members will see the project in the Portfolio. You can for example create a Team for a specific project and assign an external customer or stakeholder to the Team/Project. They will only see that project. It is a feature to filter viewing of different projects.

In the Portfolio menu bar is the Icon for assigning a team to a project (two people) icon for assigning a team to a project. The default setting is that everyone can see the project (All). You can also create teams in the Administration area. If you have created teams you can assign them to Projects in the Portfolio with the icon.

How to Assign a Team to a Project in ProjectLibre Cloud

To assign a team to a project in ProjectLibre Cloud, follow these steps:

  • Open ProjectLibre Cloud in your web browser.
  • Click on the Admin tab.
  • Click on the Portfolio sub tab

  • Click on the name of the project that you want to assign a team to.
  • Click on the Team name
  • Click on the Add Team button > and remove the default All with the arrow <

To remove a team member from a team:

  1. Click on the Admin tab.
  2. Click the Team subtab
  3. Click on the Team name.
  4. Select the team member that you want to remove and click on the Remove button. <
  5. Click on Save

Assigning a Team to a Project in ProjectLibre Cloud: Best Practices

Here are some best practices for assigning a team to a project in ProjectLibre Cloud:

  • Consider the skills and experience of each team member. When assigning a team to a project, it is important to consider the skills and experience of each team member. This will help you ensure that the team has the necessary skills and experience to complete the project successfully.
  • Assign roles and permissions based on project needs. When assigning roles and permissions to team members, it is important to base the assignments on the needs of the project. For example, if the project requires a lot of technical expertise, you will want to assign roles and permissions accordingly.
  • Communicate with the team members. Once you have assigned a team to a project, it is important to communicate with the team members and let them know their roles and responsibilities. You should also provide them with the information and resources they need to be successful.
  • Monitor the team’s progress. Once the project is underway, it is important to monitor the team’s progress and make sure that they are on track to complete the project successfully. If you identify any problems, you should address them immediately.

An important administrative function is the creation of roles for your organization. ProjectLibre has pre-set roles to get you started. These roles can be modified to match the security desired by your organization.

The existing roles that are available by default are:

  • Team Member
  • Project Member
  • Resource Manager
  • Portfolio Manager
  • Administrator

You can also create new roles. See Fig. 10 on the next page as an example showing the project manager role along with the permissions allowed with this role. This includes which views can be displayed and/or edited.

The roles give privileges on what to view and actions each role can take. Figure 11 is another view of a role created called Customer/Stakeholder. The role is created by selecting privileges and dragging them to the right.

Example descriptions of privileges available to assign to roles:

  • Authenticated_User can log into ProjectLibre
  • ReadAll_Node_project shows the Project tab, no other views selected so other views will not be populated on the menu
  • Access_View_Project displays the Project menu tab
  • Access_View Project Access_View can view a project

When assigned the ReadAll_Node_project privilege, the user would see ProjectLibre looking like this (Figure 12):

  • Only menu item is the Project
  • Only icon in the Project view is the Gantt Chart

If we log-out and then log-in as an Admin, then we can edit a role by adding privileges. In Figure 13 we selected the privilege Access_View_project_network and dragged it to the right. When we save the role, the user will now see the Project tab and both Gantt Chart and Network Diagram icons as shown in Figure 14.

The user would have access to both the Gantt Chart shown above and also the icon to select the Network Diagram shown in Figure 15.

Creating New Users

Once roles are created or viewed you can create additional users. The initial person logging in will be automatically assigned the Admin role. This is so they can create new users.

Selecting the Admin icon Administration icon (three-bar menu) and the Users tab is only available if you signed in as an Admin role. Selecting New opens a dialog box where entering the new users:

  • Name (first and last)
  • User Name within ProjectLibre
  • Email
  • Initial Password
  • Resource (drop down list to align a new user with an existing Resource)
  • Role (preselected role is a team member with the privileges set for team members. You can select other roles and drag to the right. A user can have multiple roles.)

Licenses

The Licenses tab in Administration displays the licenses the company has subscribed. It consists of the number of Project Managers (includes Admin, Portfolio, Resource Manager roles) and Team Members.

It displays the number of users subscribed and in ( ) number currently in use. ProjectLibre has a monthly subscription and is billed Annually. If you add additional users licenses it will sync with your anniversary date and you will be prorated for a partial annual subscription.

All users are the same subscription price so it does not matter if you create users with different roles. In the example below you can see there are both 10 PMs used and looking to subscribe to 10. However, there are only 2 TMs used so you would change from 8 to 2 then hit the subscribe button. You would then be subscribed to 12 users

ProjectLibre Cloud is a subscription-based service that offers team-based project

Features included in your subscription:

  • Access to all ProjectLibre Cloud features.
  • Unlimited projects.
  • Unlimited storage.

Subscription renewal:

  • Your subscription renews automatically each year unless you cancel before the renewal date.
  • To cancel, sign in to ProjectLibre Cloud, go to Administration, then Payment, and delete your card. ProjectLibre does not store your card number. Your card details are held by Stripe, a secure payment system, and are deleted there when you remove the card.

Important: ProjectLibre incurs significant expense provisioning every subscription. This notice is shown in red and highlighted for emphasis: if you do not plan to renew, remove your payment method before your renewal date. Because of these provisioning costs, we are unfortunately unable to offer refunds once a subscription renews. Not doing this is a negative outcome for both ProjectLibre and our subscribers, so please remove your payment method before renewal.

Our processor has been audited and certified as a PCI compliance Level 1 service provider, which means it has to undergo an annual compliance report and routine security scans and tests. The system encrypts all customers’ credit card numbers and stores decryption information separately, which means we can’t see credit card numbers without taking extra steps. Also, the processor mandates that all online transactions take place over the more secure HTTPS network.

There are two options to pay. The Credit Card was shown above but you can also use the Cash App wallet. This connects to your Cash App and you use a QR code to complete the transaction.
